Job Overview
We’re helping our client find a detail-oriented and highly organized Accounting Admin to support both management and accounting staff. This role combines transactional processing with higher-level administrative and analytical responsibilities. The Accounting Admin will maintain accurate financial records, prepare reports, and manage accounts payable and receivable processes across multiple business channels.
Responsibilities
- Monitor and maintain general ledgers, ensuring accuracy and compliance.
- Assist in onboarding new vendors and customers by setting up accounts and maintaining compliance documentation.
- Collaborate with sales and operations teams to resolve chargebacks, deductions, and short payments.
- Support cash application accuracy across e-commerce, wholesale, and retail channels.
- Respond to inquiries from vendors, customers, and internal staff regarding billing or payment issues.
- Assist with month-end and year-end close processes, including journal entries and bank / credit card reconciliations.
- Manage accruals, prepaid schedules, and fixed asset tracking.
- Process supplier and vendor invoices by matching, verifying, coding, and entering them into BILL.
- Gather data across departments for precise reporting and compliance.
- Monitor accounts receivable aging reports to track overdue payments.
- Create customer invoices using multiple software platforms.
- Apply payments and credits / expenses accurately to customer accounts.
- Support internal and external audits with documentation and account analysis.
- Maintain internal controls and assist in continuous process improvements.
- Prepare ad-hoc financial summaries for management.
- Handle confidential financial information with discretion.
- Assist with special projects as assigned.
Requirements
3+ years of accounting experience, ideally in a similar administrative roleStrong computer skills, including advanced spreadsheet & accounting software proficiencyExcellent analytical, organizational, and communication skillsAbility to work effectively both independently and as part of a teamExperience with SPS, OpenText, QuickBooks Online, BILL (Spend & Expense / Payables & Receivables).Experience with Google G-Suite (Sheets, Docs, Gmail, Drive, Calendar), Slack, ClickUp, and 1Password.Exposure to eCommerce, wholesale, or retail accounting environments
