An early-stage venture capital fund is hiring a resourceful Executive Assistant to own scheduling, follow-ups, CRM hygiene, and content distribution ops. You’ll keep founders and partners focused by running airtight calendars, moving conversations forward, and keeping Affinity (CRM) spotless with notes, tags, and next steps. 🧩 What You’ll Be Doing

📅 Scheduling, Follow-Ups & Stakeholder Coordination

  • Own complex calendar management for partners; schedule investor, founder, and portfolio meetings with minimal back-and-forth.
  • Drive timely follow-ups across email / LinkedIn; prevent dropped threads by maintaining next-step trackers.
  • Prepare agendas, pull context, and deliver concise pre-reads and post-call summaries.
  • 🗂️ CRM Hygiene (Affinity) & Data Operations

  • Ensure every touchpoint is captured in Affinity : contacts, opportunities, notes, tags, and tasks.
  • Ingest Read AI call notes into the correct records; extract key decisions, owners, and deadlines.
  • Perform light research and structured data enrichment (company, role, fund details) to keep records reliable.
  • 💬 Inbox & Communication Ops

  • Triage LinkedIn inbox daily; flag priority messages, draft responses, and maintain a response-SLA for partners.
  • Build a simple daily action digest (what needs replies, scheduling, or updates) to keep leaders moving.
  • 📣 Content Distribution & Light GTM Ops

  • Take founder-written content (threads, posts, newsletters) and handle consistent distribution across X / LinkedIn / Substack with correct formatting, links, and UTM hygiene.
  • Maintain a content calendar; queue posts, track engagement for feedback into the process.
  • 🔁 Process Improvement

  • Propose lightweight SOPs and checklists for recurring workflows (scheduling, CRM updates, content posting).
  • Surface bottlenecks early and suggest tools / adjustments to increase throughput.
  • Contribute to repeatable playbooks as the fund scales.
  • ✅ Who You Are

  • 3+ years as an EA / VA or Operations Coordinator in fast-paced, executive-facing environments (VC, PE, startup preferred).
  • Calendar ninja with excellent written English; confident drafting crisp, professional messages.
  • Affinity (or similar CRM) experience; comfortable with structured data entry, tagging, and tasking.
  • Familiar with LinkedIn workflows (inbox triage, post scheduling) and basic content ops .
  • Fluent with Read AI (or similar call-note tools), Microsoft Teams, and Slack.
  • High discretion with sensitive information; proactive, detail-obsessed, and reliable on EST hours.
