We are seeking a reliable and detail-oriented Customer Service Virtual Assistant to support a growing team in the moving and logistics industry. In this role, you will be responsible for handling customer inquiries, assisting with scheduling and follow-ups, resolving concerns, and ensuring an excellent client experience from start to finish. The ideal candidate is a proactive problem-solver who can stay calm under pressure and effectively manage customer relationships to help the business thrive.
Customer Communication: Respond to customer inquiries via phone, email, and chat promptly and professionally.
Sales & Booking Support: Provide accurate quotes, answer service-related questions, and assist customers with booking their moves.
Scheduling & Coordination: Coordinate schedule changes and update internal systems to ensure accuracy for the dispatch team.
Client Follow-Up: Conduct post-move follow-ups to gather feedback, ensure satisfaction, and address any immediate concerns.
Issue Resolution: Handle customer complaints calmly and empathetically, escalating complex issues to management when necessary.
Administrative Support: Maintain accurate and up-to-date customer records and assist with general administrative tasks, including CRM updates and reporting.
Experience: 3+ years of experience in a customer service or administrative support role.
Communication Skills: Excellent written and verbal communication skills with a proactive, professional style.
Technical Proficiency: Familiarity with CRM tools and general business software.
Core Competencies: Strong organizational skills, keen attention to detail, and a problem-solving mindset. Must possess the ability to stay calm, empathetic, and effective under pressure.
Remote Infrastructure: Must have a dedicated, noise-free home office setup equipped with a reliable, high-speed internet connection and a backup power source.
Direct experience working with U.S.-based customers.
Prior experience in the moving, logistics, or home services industry.
Familiarity with scheduling or dispatching systems (experience with SmartMoving is a strong plus).
Performance-based raises.
Minimum 5 days off annually (paid or unpaid based on client terms).
Annual cost-of-living adjustments at your one-year anniversary.
