About Convoy

Convoy Finance is a small finance and accounting firm working with tech startups, crypto-native companies, and established Canadian businesses.

We're a team of around nine people. Most of the team is in Toronto, with a few people working remotely from different parts of the world.

We're a fast-paced, client-focused team. Our clients are growing companies, so things move quickly and priorities can change. We're small, which means there isn't much bureaucracy and you'll work directly with the people making decisions.

The Role

We're hiring an Executive Assistant / Operations person to work closely with two of our partners and help keep things moving.

You'll manage calendars and inboxes, follow up on action items, coordinate meetings, help with client onboarding and invoicing, and keep documents and other admin work organized.

You'll also get involved in whatever needs to be done to support our clients and the team. Some days will be straightforward, while other days will require you to figure something out quickly and get it done.

This is not a role where you'll be given a checklist every morning. We're looking for someone who can take ownership, move quickly and stay on top of multiple priorities.

Requirements

What We're Looking For

You have a few years of experience in an Executive Assistant, Operations, Administrative or similar role. You're comfortable working in English and communicating with senior people and clients.

You're organized, reliable and proactive. You follow things through, pay attention to details and don't wait to be asked about every next step.

Experience working with founders or executives would be great. Startup or professional services experience is also a plus. Experience with client onboarding, invoicing, Asana, DocuSign or similar tools is helpful, but we can teach you our systems.

Most importantly, you're comfortable in a fast-paced environment where client needs come first.

The Reality of the Job

We're a small team with high expectations. Things move quickly, priorities can change during the day, and sometimes you'll have to figure something out without a perfect set of instructions.

We're remote-friendly, but we're not a work-in-a-silo kind of company. You'll work closely with a team that's mostly based in Toronto, so communication, responsiveness and reliability are important.

Compensation
